Copyright and Licensing
All members retain copyright ownership of their photos. By submitting printed and digital images for club activities, the owner is granting license to Thatcham Photographic Club to use the images for club exhibitions, club website, club social media and other non-commercial club promotional activities. Printed images are returned to the owner after exhibitions. Digital images are retained indefinitely or until the owner requests deletion.
Data Privacy
The UK General Data Protection Regulation (UK GDPR) is currently based on European privacy law that came into effect in the UK on 25 May 2018. It defines the rules governing how organisations may collect, store, and use personal data about individuals.
By the definitions set forth, Thatcham Photographic Club (TPC) is a data controller on behalf of its membership.
INFORMATION
The main information held about members includes their name, address, email address and telephone numbers. In addition, attendance information is collected via paper, email and online forms for club activities, events and meetings. Banking and other sensitive personal information is not stored by the Club. Each member may review, update, or request deletion of their information on application to the Treasurer at the following email address: treasurer@thatchamphotoclub.com
TPC may also hold personal information about anyone who has contacted the Club in the past. This information may be used to contact individuals for the purpose of conducting and promoting the Club's general activities.
PURPOSE
TPC collects and uses personal information for the following purposes:
ACCURACY
At the beginning of each year the personal information will be sent to each member individually either on paper or in electronic form so that each member can review update or remove information as required. Proof of completion of this process will be maintained either as signed paper forms or a record of completed electronic forms.
STORAGE & RETENTION
Membership records are kept securely online in cloud based storage and secure servers located at the home of the Chairman. The data is accessed by only those committee members performing tasks on behalf of the club. Other records are kept on paper and secured in locked drawers at the home of the Treasurer.
Personal information of members is retained only whilst they remain as members. When a member leaves TPC, their personal contact information is deleted.
All other records and photographs will be retained indefinitely as a historical archive of TPC, unless an individual requests deletion of a record or photos that explicitly relates to them.
