The Data Protection Act 2018 is the UK’s implementation of the General Data Protection Regulation (GDPR). It defines the rules governing how organisations may collect, store, and use personal data about individuals.
Public Photography
It's not illegal to take photos of people in public without their consent including adults and children, however it is TPC policy and good practice to inform anyone that their photo has been taken and for what purpose. We advise our members that photographs of children should be carefully considered at all times and parental/guardian consent obtained whenever possible.

Membership Information
By the definitions set forth in the Data Protection Act 2018, Thatcham Photographic Club (TPC) is a data controller on behalf of its membership.
INFORMATION
The main information held about members includes their name, address, email address and telephone numbers. In addition, attendance information is collected and consolidated into spreadsheets via paper, email and online forms for club activities, events and meetings. Banking and other sensitive personal information is not stored by the Club. Each member may review, update, or request deletion of their information on application to the Treasurer by email at: treasurer@thatchamphotoclub.com
TPC may also hold personal information about anyone who has contacted the Club in the past. This information may be used to contact individuals for the purpose of conducting and promoting the Club's general activities.
PURPOSE
TPC collects and uses personal information for the following purposes:
ACCURACY
On a regular basis the personal information will be sent to each member in electronic form so that each member can review update or remove information as required. Proof of completion of this process will be maintained as a record of completed electronic forms.
STORAGE & RETENTION
We make sure that the information collected is protected from unauthorised access, loss, manipulation, falsification, destruction or unauthorised disclosure. This is done through appropriate technical measures and access controls. The data is accessed by only those committee members performing tasks on behalf of the club. If a member leaves TPC, the personal data is deleted from the current membership lists, but will be retained in backups indefinitely, unless we receive a request from the individual to delete it.
All other records and photographs will be retained indefinitely as a historical archive of TPC, unless an individual requests deletion of a record or photos that explicitly relates to them.

- ask for a copy of the photos
- force a photographer to delete the photographs

To help our members keep the spontaneity of their photographs whilst remaining inside the data protection law, we ask that they follow these steps:
- take the photograph
- if possible, approach the subjects and inform them that their photo has been taken
- use the TPC membership badge as a form of identification
- explain why the photographs were taken and how they will be used
- show the images on-camera as reassurance
- ask for permission to use the photos on the TPC website, social media pages and at club exhibitions
- if permission is given, give a TPC consent business card as a record of the conversation
- if permission is refused... be polite and non-confrontational... delete the images from the camera immediately
- if permission is refused some time later, promptly withdraw the photo from all TPC online sources, delete from personal photo storage and inform the individual that these steps have been completed

Copyright and Licensing
The photographer retains copyright ownership of their photos and has the right to keep them indefinitely unless an individual requests deletion under the Data Protection Act 2018.
By providing printed and digital copies of images to individuals or organisations, the photographer is granting a license for the image to be used in the way agreed.
